How Vantify helped transform compliance oversight and day-to-day efficiency for Graham + Sibbald
Graham + Sibbald are chartered surveyors and property consultants with more than 20 offices across the UK employing more than 250 people.
The challenge
When Claire Peebles joined Graham + Sibbald four years ago, there was no dedicated Facilities Management team in place. There was a reliance on legacy tools, and data being rekeyed across systems with limited oversight. Now a Director, Claire has played a key role in building and leading a more efficient, integrated FM function
“Risk Manager and CAFM provide the benefit of communicating between systems seamlessly. It’s a huge improvement in efficiency and demonstrates Vantify’s continuous development of systems dedicated to supporting client driven strategies.”
Matthew Mills, Health and Safety Manager in the Asset Team agrees that having a single ecosystem to track planned and reactive maintenance was a turning point.
“It’s great for auditing and seeing what’s been done at a glance. It’s also much easier to monitor contractor performance and spot any service gaps.”
Streamlined systems and better collaboration
The decision to work with Vantify’s consultancy team was driven by the need for consistent compliance support across a growing commercial property portfolio. The Vantify consultants were selected for their technical knowledge and their ability to integrate with internal systems and processes.
“We’ve worked with a number of consultants over the years,” Matthew says “Vantify’s team is one of the most professional and approachable. The level of support they offer has made a real difference.”
Claire adds that risk assessments and compliance workflows are now far more efficient. “From the scheduling through to attendance, everything flows well. It’s a very interactive, responsive system.”
User-friendly, scalable, intuitive
According to Claire, the systems are so intuitive that minimal training is needed. “If you haven’t used this kind of platform before, it’s user friendly and designed to help people integrate quickly and do their jobs more effectively.”
The impersonation feature within Risk Manager allows Claire to view compliance from the perspective of her wider team. This is particularly useful for managing annual leave, regional coverage, and ensuring the right people have the right information when they need it.
Supply Chain links directly to both CAFM and Risk Manager: “It’s been a huge help for contractor management,” Claire explains, “We can easily track job status, know who’s verified, and ensure that the process is fully audited.”
Matthew sums up the enhancements as more than just digital transformation. “The systems are integrated, scalable, and supported. That lets our teams focus on delivering pragmatic, real-world compliance advice to our clients and occupiers.”
Digital Solutions That Work
Graham + Sibbald’s Asset Services team now operate across the UK with integrated, scalable systems that are intuitive to use and easy to adopt. Minimal training is required, contractor management is fully audited, and compliance oversight is far more efficient.
